N’ware becomes a certified MyWave AI partner
Most businesses waste 10 to 25 hours every week on repetitive tasks that software should handle. Invoice matching, order entry, data extraction from emails – the kind of work that drains your team but doesn’t move the business forward.
We’ve partnered with MyWave because their platform actually solves this problem, not with robotic process automation that breaks when something changes, but with agentic AI that thinks, adapts, and gets work done.
What agentic AI actually means
You’ve probably heard about ChatGPT and other AI tools. MyWave is fundamentally different from those conversational interfaces.
It’s not a chatbot that answers questions. MyWave uses what’s called “agentic AI,” which functions like a digital employee that can work independently. These systems set their own goals, make decisions based on context, take actions across multiple systems, and learn from outcomes.
Here’s a real example. A customer emails you a purchase order as a PDF attachment. The MyWave AI agent reads both the email and the PDF automatically, extracts the relevant data, then checks your SAP Business One system to validate that the business partner exists and items are available. If something’s unclear (an item code doesn’t match or a quantity seems unusual), it asks a human to clarify. Once everything checks out, it creates the sales order directly in SAP Business One.
No manual data entry. No switching between screens. No copying and pasting.
The AI handles the entire workflow but doesn’t blindly execute predetermined rules. It understands context and handles exceptions intelligently. If it encounters an unrecognized item code, it stops and asks. If quantities seem unusually high, it flags them for review.
This contextual decision-making is what makes it “agentic.” It works the way a knowledgeable person would approach the task, not like a brittle script that fails when something unexpected appears. The system also gets smarter over time, learning from user interactions and becoming better at handling your specific processes.
Real-world AI automation with SAP Business One
The platform handles three common business scenarios that typically consume hours of manual work each week.
Scenario 1: Mobile sales inquiries
Your sales team is in the field meeting with customers. They need real-time information about product availability, pricing, and alternatives to close deals on the spot.
With MyWave, a sales rep can use their phone with voice commands to query inventory. They ask about a specific item for a customer, and the AI returns current pricing, stock levels across all warehouses, and alternative products if inventory is low. From that same mobile interface, they can generate a sales quote in SAP Business One in under 30 seconds.
The entire process happens through natural language, eliminating the need to navigate through SAP’s interface or remember where specific functions are located.

Scenario 2: Processing PDF purchase orders

One of the most time-consuming tasks in distribution is manually transcribing customer purchase orders into your ERP. Someone opens the PDF, reads each line, and types the information into SAP.
MyWave automates this end-to-end. The AI reads the PDF and extracts all relevant data: customer name, items with descriptions, quantities, delivery dates, and pricing. It automatically matches this information to corresponding records in SAP Business One.
Here’s what sets this apart from basic OCR tools. Before committing the document, the system presents a validation screen where users can review and override any AI interpretations. If the AI identified an item incorrectly or a price needs adjustment based on a recent customer agreement, the user can correct it before the sales order is created. This maintains human oversight where business judgment matters while eliminating tedious data entry.
Scenario 3: Unstructured email requests

Not every customer sends formal purchase orders. Many send conversational emails with item requests embedded in paragraphs of text, mixed with delivery instructions, questions about previous orders, and other information.
Traditional automation fails here because there’s no consistent format to parse. MyWave’s natural language processing handles this variability. The AI reads through unstructured email content, identifies the relevant items and quantities among all the other text, and constructs a sales quote. As with PDF processing, it presents everything for human confirmation before creating documents in SAP.
This capability addresses the reality that most customer communications don’t arrive in clean, structured formats that automation tools typically require.
The Wave Factory and customization
MyWave’s automation units are called “Waves.” They’re not one-off scripts that break when your process changes. They’re process domain models designed to be extended, customized, and reused across different workflow variations.
You build and test Waves in the Innovation Hub, a low-code interface that doesn’t require developer skills. The platform supports multiple languages and includes visual tools for mapping process logic and defining validation rules.
What you get out of the box
The standard X18 package currently includes 18 prebuilt Waves (expanding to 19+) covering common business processes:
- Creating sales orders from customer purchase orders
- Generating quotes from email requests
- Processing AR invoices
- Checking available-to-promise inventory
- Onboarding new business partners
- Customer visit reports and follow-ups
- Goods receipts from packing slips
- Business partner pricing and ranking analysis
These are production-ready Waves you can deploy immediately or modify to match your specific business rules.
What’s included in the bundle
MyWave offers a bundled subscription model that includes everything you need to get started. The standard package comes with five user licenses, making it accessible for teams without requiring enterprise-wide rollouts from day one.
| Component | What You Get | ||
|---|---|---|---|
| User licenses | 5 users included in the base package | ||
| Infrastructure | Hosted Linux server (managed by certified partners) | ||
| AI engine | ChatGPT v4 integration included, but platform supports any LLM (Mistral, Anthropic, etc.) | ||
| Standard Waves | X18 package with 18 prebuilt Waves (expanding to 19+ soon) | ||
| Custom development | 5 custom Waves built at no additional development cost |
The hosted infrastructure is managed by certified partners, so you’re not handling server maintenance or updates. While ChatGPT is configured by default, the platform supports alternative LLMs if you have specific compliance or technical requirements.
The five custom Waves are included. Professional services for requirements documentation are separate, but the actual Wave development by MyWave’s factory is covered in your subscription.
Beyond SAP integration
While MyWave has deep SAP expertise, the platform isn’t locked exclusively to SAP. It uses InfoPlugins (connector templates) that allow integration with virtually any system exposing an API. Partners can develop and load their own plugins for industry-specific or legacy applications.
This means you can orchestrate workflows spanning your ERP, CRM, e-commerce platform, and other business systems. MyWave becomes the orchestration layer coordinating actions across your entire technology stack.
What’s coming in the next few months
The MyWave team shared their roadmap for the next three to six months, with several significant enhancements in development.
Real-time status updates

The upcoming version will provide real-time status updates as it works through each process step:
- “Reading document…”
- “Identifying business partner…”
- “Checking inventory levels…”
This makes a meaningful difference in user confidence, particularly when processing takes 10-15 seconds.
Intelligent inbox processing

MyWave is developing an add-in for Outlook and Gmail that will automatically monitor your inbox and process relevant emails via webhook without manual intervention. Instead of manually triggering Waves, the AI will identify incoming messages matching defined patterns and automatically initiate processing workflows.
This is particularly valuable for high-volume scenarios with 50+ daily customer orders via email. The system will still apply validation rules and can be configured to auto-approve routine transactions or flag items for human review.
Enhanced business logic enforcement

The validation layer is being enhanced to enforce actual business policies beyond simple data validation. For example, if a sales order would push a customer over their credit limit, the agent will flag it, recommend escalating to finance, and draft the notification email including current balance, order amount, and overage details.
Partner-built custom Waves
Partners are already building custom Waves for specific needs. Two examples: a vendor price list management agent that processes spreadsheets and performs mass pricing updates in SAP, and an inventory replenishment agent that analyzes stock levels against minimums and lead times, automatically recommending purchase orders or stock transfers.
What this means for you
MyWave claims 70 to 90% productivity gains and 30-day time to ROI. Your results will depend on your specific processes and current manual work requirements. What we can confirm from demonstrations and our certification process is that the platform delivers on intelligent process automation.
The platform deploys in weeks because you’re not replacing existing systems. MyWave integrates through standard APIs without requiring modifications to your core ERP. It’s built for growing mid-market companies spending significant hours on manual data entry and copy-pasting between applications.
Technical requirements
You’ll need SAP Business One Web Client (version 2305+ recommended) and an SSL certificate configured for external access. Hosting is typically handled by certified partners like SMB Solutions on their Linux servers while your SAP installation remains wherever it currently is. You’ll need to provide an SAP Business One indirect license for MyWave to access your system programmatically.
